JOB SUMMARY:
Provide administrative support to Project and Safety Teams and successfully perform routine administrative, HSE and Project Coordination tasks in order to simplify and expedite the completion of construction projects work.
ESSENTIAL SKILLS AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily: Project Administration
• Process relevant documents.
• Update and maintain business contact information.
• Assist with calendaring and tracking critical deadlines and milestones for various projects.
• Facilitate material/service purchasing and receiving, functions including submitting purchase requisitions, entering POs and purchase receiving in Acumatica.
• Support Head Office Accounting Team (including AP and reconciliation).
• Payroll and equipment time entry and support with HeavyJob.
• Work with the Project Engineer to prepare monthly billings to the Client.
• Prepare monthly pay applications for our subcontracts and major material supplies, supported by Engineers.
• Assist with change order management and Prime Contract documentation and filing.
• Assist with subcontract and purchase agreement files and change orders.
• Help prepare weekly and monthly project reports that are submitted to the Client.
• Support Field Engineers with project documentation.
• Log submittals and transmittals from the Client.
• Manage procurement of site office supplies and consumables; and
• Provide administrative assistance to the President and Senior Management as needed (non-project related tasks).
Safety Administration
• File safety documents and track HSE statistics.
• File safety documents during hiring process of Craft workers, including general Onboarding functions as it relates to filing and HSE.
• Manage HSE document control and filing system.
• Support HSE Team with incident reporting and investigation procedure.
• Assist or conduct site inspections.
• Support HSE Team with Wildfire Plan application and implementation processes (including fire rate monitoring and controls).
• Coordinate and create agenda for weekly Toolbox Talks.
• Review and file FHLAs; and
• Manage PPE inventory, restock and compliance.
RECOMMENDEND MINIMUM QUALIFICATIONS

Education and/or Experience:
• High School Diploma or GED
• Related experience providing administrative support is an asset
• Advanced knowledge of Microsoft Office Word, Excel, PowerPoint and Outlook, Acrobat Professional, and HCSS (optional, considered an asset)
Certifications and/or Licensing Requirements:
• Required Company or regulatory certifications
• Required Company safety certifications
LANGUAGE MATH AND REASONING ABLITY:
Ability to read and comprehend simple instructions, correspondence, and reports.
• Ability to write simple correspondence and reports.
• Ability to effectively present in one-on-one and small group situations to the Owner, Clients, and other Employees of the Company.
• Ability to apply concepts such as percentages, ratios, and proportions to practical situations.
• Ability to identify problem, collect data, establish facts and present options for resolution.

• Working in an open cubical workstation or office, subject to office noise;

• Travel to projects as needed;
